Rotating sales leads from the Info email inbox

PURPOSE AND SCOPE

The primary purpose of this SOP is to establish a standardized, efficient, and legally compliant process for managing new sales inquiries and leads received through the designated info email inbox. This ensures that every incoming contact is properly documented in Hubspot, has a defined legal basis for data processing (legitimate interest), and is quickly and correctly routed to the appropriate Key Team Member (KTB) for follow-up, thereby maximizing lead conversion potential and maintaining an organized client database.

PROCEDURE

Step 1: Locate and Access the Inquiry

  • Find the new inquiry/lead email in the info email inbox.

Step 2: Enable Hubspot Extension

  • Ensure the Hubspot extension in your email client is turned on/active.

Step 3: Open Hubspot Side Tab

  • Click to pull up the side tab for the Hubspot extension within the email window.

Step 4: Navigate to 'About'

  • Select the 'About' tab within the Hubspot side panel.

Step 5: Establish Legal Basis for Processing

  • Confirm there is a legal basis for processing the contact's data.
  • Select 'legitimate interest' from the dropdown menu in this section.

Step 6: Assign Contact Owner (KTB Assignment Check)

  • Verify the Contact Owner field:
    • If the contact is new or an existing client with a CURRENT KTB, ensure the appropriate KTB is listed.
    • If the contact is a returning client or inquirer whose previously assigned KTB is no longer a KTB, set the Contact Owner to 'No Owner'.

Step 7: Set Lead Status

  • Ensure the Lead status field is set to 'New'.

Step 8: Final Verification

  • Wait a few minutes.
  • Check in the main Hubspot platform to confirm that the client was automatically rotated to a KTB.
