How to create a quote in Ezus

PURPOSE AND SCOPE

This procedure guides you through creating and preparing a client quote within the Ezus platform.

CHECKLIST

  1. Project Initiation and Selection
  1. Go to Ezus.
  2. Under the Projects tab, hover on 'Add a project' and select Catalogue.
  3. Search for the closest matching template using the tour name, service level, time of booking (early, mid, high), number of rest days, and room type.
  4. Rename the Project title with the client name.
  5. Select 'add project' (do not select the copy documents click box).

2. Configuring the Template (Project Tab)

  1. Change the project dates to the client's preferred dates, if known.
  2. Change the pax number to match the group size.
  3. Under the Brief section:
    • Change the code in the Additional notes to match the trip.
    • Fill in the 'On-trail dorm vs. off-trail private rooms' section with known details.
    • Fill in the 'room constellation' with room type and rooming list, if known.

3. Program and Itinerary Review

  1. Switch to the Program tab.
  2. Ensure the proper number of rooms and meals at all accommodations, as well as the correct room types.
  3. Rooms can be deleted en masse from the List View if needed.
  4. To change room types: Go to the specific accommodation, hit the 'find' button (lower right), select the proper room, ensure the quantity is correct, and delete the original.
  5. To add a new accommodation: Hover over the '+ accommodation' button and select Catalogue. Add meal and room as needed, and set the proper check-in and check-out dates.
  6. Scroll down to the Itinerary section and ensure all hikes match the plan.
  7. To change a hike: Go to the appropriate day stages, hover over '+ activity' and add the correct hike from the catalogue, then delete the old one.
  8. Ensure that the margin is around 40%.

4. Document Generation and Editing

  1. Go to the Documents tab.
  2. Select Proposal, then select 'PROPOSAL (w/o price)'.
  3. While it generates, select 'add a document' and select 'Pygmy Quotation'.
  4. Rename the quotation 'Estimated Pricing v1' or the applicable version number.
  5. Open the proposal and rename it 'Proposal v1' or the applicable version number.
  6. Inside the Proposal document:
    • Scroll to the second page and delete out any empty hike details for arrival, departure, or rest days.
    • If the text runs off the page, delete out baggage transfers by highlighting the line (e.g., 'Baggage Transfer - Tour du Mont Blanc'), pressing Ctrl+C, then Ctrl+H, and then Ctrl+V to replace all instances.
    • Adjust the lines by deleting empty rows.
  7. Back out of the document.

5. Publishing to Client Space

  1. Switch the highlighted 'documents' tab to the 'client space' tab.
  2. Hit 'publish'.
  3. On the home page, select cover image, type in the tour name, and select a photo from the internet.
  4. Select the proposal tab and upload the document named 'Proposal v1'.
  5. Select the pricing breakdown tab and upload the document named 'Estimated Pricing v1'.

6. Finalization

  1. Copy the link for the client space. The quote is now ready to send!
